Privacy Policy

The integration is used solely by the Firm, on QuickBooks Online company files belonging to clients who have engaged the Firm under a written engagement agreement. It is an internal professional tool. It is not offered to the public, sold, or made available to anyone outside the Firm.

With the client's authorization, the integration accesses accounting data in that client's QuickBooks Online company — chart of accounts, customer and vendor lists, products and services, and transactions — for the sole purpose of performing the bookkeeping and accounting services the client has engaged the Firm to provide.

Encrypted authorization credentials, a log of the changes the integration has made, and temporary cached lists of account and contact names used to code transactions correctly. We do not store client financial statements or transaction histories outside QuickBooks Online itself.

On Firm-controlled equipment. Authorization credentials are encrypted at rest. The Firm does not sell client data, and does not share it with any party other than the service providers described in this policy.

The Firm uses an AI assistant — Claude, provided by Anthropic — to help review, code and prepare accounting entries. When the Firm performs work on a client's books, accounting data retrieved from that client's QuickBooks Online company is sent to and processed by that assistant. Anthropic acts as a service provider to the Firm under its applicable commercial terms.

Professional judgment remains with the Firm. Entries prepared with the assistance of AI are reviewed by the Firm before they are posted, and accounting conclusions are not delegated to an automated system. Clients who wish to discuss this use of AI in their engagement may contact us at mohson@aristocrat.cpa.

Authorization credentials are retained while the engagement is active and are deleted on termination of the engagement or on client request. Records of changes made to a client's books are retained in accordance with the Firm's professional records retention policy.

A client may revoke the integration's access at any time from within QuickBooks Online, which immediately and permanently ends the Firm's API access to that company file. Clients may also request deletion of stored credentials and change logs by contacting us at mohson@aristocrat.cpa.

All client information accessed through this integration is subject to the confidentiality obligations applicable to certified public accountants, including Rule 1.700 (Confidential Client Information) of the AICPA Code of Professional Conduct.
